How to Manage Inventory in a Small Shop

Practical steps for recording incoming and outgoing stock, checking discrepancies, and deciding when to reorder.

· Updated

Inventory that is not recorded can make it hard to know what needs replenishing. Stock management does not have to begin with a complicated system. Start with consistent records and periodic physical counts.

1. Create a clear product list

Record each item's name, selling unit, and available quantity. Distinguish different sizes or variants so their quantities are not mixed. Use the same name each time you record an item.

2. Record incoming goods

When stock arrives, compare it with your order or supplier receipt. Enter the quantity actually received, not merely the quantity ordered. Record shortages or damaged items separately so discrepancies can be traced.

3. Deduct items sold or used

Record sales using the correct unit. If an item is sold individually and by the case, define the case contents and conversion so counts remain accurate. Record items used personally or damaged as separate adjustments.

4. Set a reorder reminder

Pay attention to items that often run out and how long suppliers take to deliver. Set a simple reminder threshold based on your own business needs, and review it if sales patterns or delivery times change. No single threshold suits every shop.

5. Compare records with shelf counts

Count items periodically and compare physical quantities with your records. If they differ, investigate possible causes before changing figures: an unrecorded sale, counting error, damaged goods, or incorrect units. Record adjustments and reasons to make the next review easier.

6. Start with the most important items

If your product list is long, begin with items that sell often, run out quickly, or matter most to customers. Expand to other items once the recording routine is working.

Digital inventory records

Sora offers inventory records that decrease when items are sold, a list of items to consider buying again, and stock checks that show discrepancies for correction. Features and workflows may vary with the business app you create; review records and physical counts before applying corrections.

You can start from a shop template or describe your app needs to Sora. See the Security & Data page to learn about controls over changes and data.

In short

List items with clear units, record goods in and out, set reorder reminders based on your shop's conditions, and compare records with physical counts. Consistent records and traceable discrepancies are more useful than an overly complex system from day one.
