How to Track Customer Tabs in a Small Shop
Record the purchase, partial payments, and remaining balance so customer tabs do not depend on memory.
· Updated
A customer takes rice and cooking oil worth Rp68,000 and says they will pay on Friday. Three days later, they hand over Rp20,000. Without a note of that partial payment, you might ask for the full amount again or forget what remains.
These figures are a hypothetical example. Record each tab transaction and update the balance only when payment is actually received.
Start with one entry for the purchase
Write down the date, a customer name or identifier you recognize, the items, quantity, and total. For example: Oct 27, customer A, 5 kg of rice and 1 liter of cooking oil, Rp68,000. Keep the receipt if there is one so you can check the items and amount.
A customer tab is a sale that has not been paid in full. Keep it separate from personal spending or owner contributions. That way, money still owed does not look like cash already in the drawer.
Record every payment, not just the new balance
When the customer pays Rp20,000, note the payment date and amount. In this example, Rp48,000 remains. Add a new line for the next instalment instead of deleting the original purchase entry.
If an item is returned, note the item, the agreed value, and why the balance changed. Keep a receipt or message as evidence. This guide to sales and purchase returns distinguishes a customer returning goods to a shop from a shop returning goods to its supplier. Keep those events distinct in your own records too.
Reconcile without guessing
At a time you choose, add up the remaining balances for each customer. Compare recorded payments with cash or transfers that actually arrived. If the figures do not match, check the receipts and dates before changing the balance.
Do not rely on memory or mark a tab as paid before the full amount arrives. If an older record is incomplete, flag the balance for checking. You can discuss it politely at the next visit, but do not present an estimate as a confirmed amount.
Sora’s small-shop template lists customer tabs with instalments and WhatsApp reminders. If you use a notebook, the same basic method applies: record the original purchase and each payment separately.
