How to Separate Business and Personal Money

Separate sales, owner contributions, business expenses, and personal withdrawals so cash records are easier to trace.

At closing, the drawer holds Rp420,000, but you remember taking Rp50,000 for a household expense. If that withdrawal never made it into the book, tomorrow’s opening balance can look mysteriously short.

Label each movement of cash

For example, start with Rp500,000 in business cash, take Rp300,000 in sales, spend Rp250,000 on stock, then withdraw Rp50,000 for personal use. Record the stock purchase as a business expense and the personal withdrawal separately. The ending balance is Rp500,000 + Rp300,000 - Rp250,000 - Rp50,000 = Rp500,000.

This is a hypothetical example. It is not a universal accounting rule; the point is to keep a traceable reason for each movement.

An owner contribution is not a sale

When the owner adds cash to keep the drawer funded, do not mix it with customer sales. Label it “owner contribution” with the date and amount. Money received from a customer is a sale, even though both transactions increase the cash balance.

Bank Indonesia says recordkeeping helps small businesses understand their financial condition, and that mixing business and personal finances can obscure that picture on its SI APIK page. Recordkeeping needs vary by business, so treat this as general guidance rather than advice for a specific accounting case.

Investigate a mismatch before adjusting it

If your book and physical cash differ by Rp20,000, recount the cash and check receipts, incoming transfers, and withdrawals that may not have been recorded. Do not enter a balancing figure without an explanation. If the transaction is still unknown, label the difference as temporary and keep tracing it.

One cash book can include sales, expenses, owner contributions, and personal withdrawals if each type and its evidence are clear. A short entry with a date, amount, category, and reference is easier to check than relying on memory.

Today, choose one day of transactions and label each line as a sale, business expense, owner contribution, or personal withdrawal. Then compare the calculated balance with the cash on hand.
